Traineeships – before departure

Before departure for Erasmus+ mobility: steps, documents, forms

After contacting the Erasmus Coordinator at the faculty where you are enrolled and participating in/passing the selection session organized by the faculty, you must submit a Standard request for the Rector’s Travel Order for travel abroad (form) addressed to the UAIC Executive Board, through the Erasmus+ Office, following this model. To calculate the value of the Erasmus grant you are entitled to, we await you at the Erasmus+ Office within the International Relations Office, located in Building A of the university, 2nd floor, next to the Rectorate.

The Request accompanied by the documents mentioned below must be verified by the Erasmus+ Office officer so that it can subsequently be submitted to the University Registry, at least 14 days before the departure date.

Documents accompanying the request for the issuance of the Rector’s Travel Order for departures abroad:

1. Learning-Agreement-Student-Mobility-for-Traineeships – completed and signed by all contracting parties (guidelines, and model for completion);

2. Confirmation Letter (completed and stamped by the representative of the host institution);

3. Erasmus+ Scholarship Holder Form;

4. Erasmus Declaration – traineeship mobility;

5. Certificate from the Faculty Secretariat attesting to the fulfillment of criteria for a social scholarship – only for students with fewer opportunities;

6. Graduate certificate from the Faculty Secretariat attesting to the passing of all subjects in the study cycle you are enrolled in at the time of selection. The certificate can be obtained immediately after the final examination session, before the Bachelor’s/Master’s degree exam – only for recent GRADUATES*!

* Students and doctoral candidates in their final year selected before the end of the evaluation/examination session of the second semester of the final year, or before the public defense of the doctoral thesis, for traineeships taking place in the first year after graduation, have “conditionally selected” status; they become “full participants” when they can provide proof of graduate status by presenting a certificate issued by the faculty, or a certificate issued by the Secretariat of the Doctoral School or the Office for University Doctoral Studies. These traineeships can take place over a 12-month period after graduation.


!!! If there are requests to carry out a traineeship in a field different from the one studied, this can only take place with the approval of the Dean of your faculty.

Attention! FALSE STATEMENTS ARE PUNISHABLE BY LAW AND WILL RESULT IN THE REPAYMENT OF THE RECEIVED ERASMUS GRANT.

Important!!!

The travel request, endorsed by the faculty, must be submitted to the registry at least 10 working days before the start of the mobility.

All documents are submitted to the Erasmus+ Office at least 10 days before the start of the mobility to be approved by the university management. When submitting the financial contract to the Erasmus+ Office, you must collect the Rector’s Order/Travel Disposition. After the issuance of the Rector’s Order, you will be notified by email by an Erasmus+ Office representative to submit the following documents:

1. Financial Contract – completed and signed (you will receive the form in electronic format via email)

2. Euro Bank Account Statement

3. Copy of your ID card/Passport

4. Copy of 3 types of internationally valid insurance for the entire duration of the traineeship:
  • Health Insurance: European Health Insurance Card or a policy issued by a private insurance company
  • Personal Liability Insurance
  • Accident Insurance at the workplace.
The completed and signed financial contract, along with the supporting documents, must be sent to the Erasmus+ financial officer at the International Relations Office at least 5 working days before the start of the mobility.
